Assets Data
An asset is added to an asset type item. IntelliTrack has two places where you can add an asset: at the Manage Items page and at the Assets Data page. This section explains working with assets from the Assets Data page.
IntelliTrack considers an asset to be an item that you purchase to use. It has a usable life span, usually for a long period of time. For example, asset items may include:
- Electronic devices
- Equipment
- Furniture
- Tools
- Vehicles
When you add an asset to an asset-type item, the qualities of the item are also added to the asset. Each asset has a unique asset number and may be tracked individually
The Assets Data page provides a way to easily manage your assets.
Note: In order to reach this page, the default RoleThe role is a collection of system features. Each feature has an access level of either read-only or edit. A role is assigned to a user. The user has access to the features found in the role. of the Logged-in UserAn IntelliTrack user has an account with IntelliTrack and uses the software; is active in the system; has a valid username and password; is assigned to at least one division and one site; has a default division and a default site. The user is designated as either an Administrative User or a Standard User. must include the Assets featureAccess to this feature activates the Asset check box in the Details tab of Add Item form and Edit Item form, it also activates the Asset icon at the Manage Items page, the Assets form at the Manage Items page, and the Assets > Asset Data option, which opens the Assets Data page. Furthermore, the asset lookups (Account and Condition) are activated at the Manage Lookups page. Edit access to this feature entails adding an asset-type item, adding an asset to an asset-type item, and adding an asset lookup (Account lookup and Condition lookup)..
To reach the Assets Data page, select Assets > Assets Data. All assets are displayed at this page.
This page lists the following information about an AssetAn asset is an item that has a value in the market, generates revenue, has a maintenance or calibration cost, depreciates over time, has a useful lifespan, and has a salvage value. Examples of assets include: office furniture and fixtures, office vehicles, data servers, computer equipment.:
- Asset number
- Asset item associated with the asset
- Asset serial number
- Site
- Location
- Check out status
- Owner
Note: The site-location is the default location of the asset. The assumed quantity of an asset is always 1.
An asset-type item may contain consumable inventory and asset inventory. An asset is added to an asset-type item. To designate an item as an asset-type item, the Asset property must be set for the item; see "Asset Type Item"

In order to retire an asset, the logged-in user’s role must include the Retire featureAvailable in edit mode, this feature grants access to retire an asset from active use. When enabled, the Retire icon is displayed in the Assets form and the Assets > Retire option is available in the mobile application..
